Tasks: What does an Office Management Assistant do?

Your responsibilities will include a wide range of administrative and commercial tasks. You will become familiar with work processes in the areas of accounting, purchasing, human resources management, project controlling, travel services, and team assistance.

In addition, you will gain fascinating insights into the daily work of a research institute and experience firsthand how administration and science work hand in hand. In addition to comprehensive basic training, you will deepen your expertise in a selected qualification area and be optimally prepared for your professional future in office management. Through daily work with S/4 HANA as well as Microsoft Office, you will gain valuable experience with the latest software solutions and tools.

Organizing meetings is part of your training.

From day one, you will of course have a designated contact person at your side. You will be introduced to your tasks and activities step by step, so that you can carry them out more and more independently.

Requirements

You are a cooperative and communicative team player with a strong interest in commercial and administrative tasks. Basic knowledge of business administration and common MS Office programs is an advantage for the training program.

During your training, you will learn about teamwork.

Overview:

  • High school diploma or A-levels with good grades in German, English and mathematics
  • Strong interest in commercial activities and office organization
  • Very good German skills (min. B2) and ideally good written and spoken English skills
  • Enjoy working with computers and standard programs (e.g. MS Office)
  • Careful working style and enjoyment of working in a team

Structure and Sequence of the Professional Training

During your 3-year training program, you will rotate through several training areas. Under certain conditions (good performance in vocational school and practical training), it is possible to shorten the training program to 2.5 years.

This dual training program consists of two basic components:

  • Extensive practical experience in the administration of our institute 
  • Theoretical education in block modules at the Karl-Volkmar-Stoy-Schule in Jena

Potential Earnings

You will receive a monthly training allowance and social benefits in accordance with the Collective Agreement for Trainees in the Public Sector (TVAöD).

In addition, there is a flat-rate allowance for learning materials. If you live a long way away, we will also reimburse you once a month for travel to your parents' home, the home of your legal guardian or spouse or civil partner (only applies to registered civil partnerships). Even if the vocational school and training center (institute) are located in different municipalities, travel expenses will be reimbursed (for more details, see §§10, 11 in the collective agreement for trainees in the public sector).

After successfully completing the program, you have the option to pursue further training to become a Certified Business Administrator (Wirtschaftsfachwirt).
